Charter a Coach | Tips for Chartering a Motorcoach
12 Tips for Chartering a Motorcoach


1. Clearly spell out your schedule and what is involved in detail.

  • Be sure the company knows what hours the driver must be available to the group.
  • Anderson Coach & Travel requires a detailed itinerary on all charters 20 days prior to departure.

     

    2. Ask how long the company has been in business. 

    • Find out when the company was established and how long it has been under the same ownership. A good track record is always desirable.
    • Anderson Coach & Travel was established in 1937 by O.D. & Dot Anderson. The company has been family owned and operated since the beginning!  

     


    3. What is the company’s Department of Transportation (DOT) and Military safety rating?     
    • A satisfactory rating is standard. Never charter from a company with an unsatisfactory or conditional rating. Call the Federal highway Administration Office of Motor Carriers to verify a carrier’s safety rating.
    • Anderson Coach & Travel has a satisfactory rating from the DOT. Satisfactory is the highest rating available from the USDOT.  Our DOT # is 000337. 

                                    

                                    
     
     

    4. Ask for References.

    • Request contact references from other groups traveling with the company. Never charter with a company unwilling to provide references.
    • Anderson Coach & Travel will provide references upon request.

    1. Is the company adhering to Department of Transportation driver regulations? The DOT limits drivers to 15 hours of continuous service; however they may only drive 10 hours during that duration. If your itinerary requires more than the limit, ask how the charter company is going to handle it.
       
       
    2. Ask the company’s procedures for over-the-road emergencies.
      • The operator should have access to a nationwide reciprocal maintenance agreement which will assure you of prompt servicing of equipment in all regions of the U.S.A.
      • Anderson Coach & Travel is a member of International Motorcoach Group. This facilitates a quicker response for mechanical service or coach replacements anywhere in the U.S. or Canada.  
       
       
    3. Is the company available for inspection?
      • You should inspect the motorcoach equipment, general offices and garage facilities. You can tell a lot about a company just by looking at it.

    4. Are video-equipped motorcoaches available?
      • Video-equipped coaches can be helpful. You can view educational videos or help pass the time with movies.
      • All Anderson Coach & Travel motorcoaches are equipped with DVD units. Additionally all of our motorcoaches are licensed to view movies onboard the coach.
       
       
    5. Who pays for the driver’s hotel?
      • With Anderson Coach & Travel, the customer is responsible for securing and paying for the driver’s room. This usually ensures your group the best room rate. Having your driver stay at the same hotel allows for better customer service. The driver is not required to stay at the same hotel; however, the customer must make sure that there is adequate parking for the motorcoach at the hotel he/she chooses for the driver.  
       
       
    1. Who is responsible for extra mileage costs above the contracted amount? 
      • Find out the carriers policy before the trip – not when you receive the bill.
      • Anderson Coach & Travel bills for additional mileage and extra time that was not contracted in the original charter agreement.  Any itinerary changes must adhere to DOT regulation of driver’s hours of usage. The chartering party will be required to sign a Customer Correspondence form that stipulates that changes may affect costs and also ensures that the Hours of Service regulations are adhered to.  
       
       
    2. Is the company that you are chartering with properly insured?
       
       
    3. How will fuel costs affect your trip?
      • Be sure to ask the company if an increased cost in fuel will increase the cost of your charter.
      • With Anderson Coach & Travel, a fuel surcharge will not be applied if the chartering party pays in full within 10 days of booking. However, if the chartering party has not paid in full Anderson Coach & Travel reserves the right to add surcharges when economic conditions subject us to significant increases in the cost of fuel.
